Terms & Conditions

1. Who provides the service

Gear Guardian is provided by Alex Castle (the “seller”, “we” or “us”). These terms form an agreement between you and Alex Castle for the use of our production-equipment and warehouse-management software. By creating an account or continuing to use the service, you agree to these terms. You must be legally able to enter this agreement and have authority to act for any company you register.

2. Accounts and company records

Provide accurate account information, protect your sign-in credentials and only invite people authorised to access your company’s records. Company administrators manage their own team’s access. You remain responsible for the accuracy of equipment records, maintenance decisions and content you upload. The service does not replace physical checks, electrical safety testing or qualified professional judgement.

3. Subscriptions and payments

A company subscription covers the company’s team and all available features. Monthly billing is £14.99 and yearly billing is £143.90, excluding applicable tax. A card-required 30-day trial is available once per company and begins at checkout. The chosen plan renews automatically after the trial and at each billing interval unless cancelled. Cancel through the billing portal; access continues to the trial or paid period end, then existing stock may be viewed and exported. Switching billing intervals takes effect immediately with a provider-calculated adjustment for unused time, shown before confirmation. Trial changes do not restart the trial. Failed renewal payments have a 14-day recovery period from the initial failure.

Our order process is conducted by our online reseller Paddle.com. Paddle.com is the Merchant of Record for all our orders. Paddle provides all customer service inquiries and handles returns.

Payments, taxes, invoicing, cancellation and refund mechanics are also governed by Paddle’s Buyer Terms. Read our Refund Policy before purchasing. Nothing here limits mandatory consumer rights.

4. Acceptable use

You must not use the service unlawfully, fraudulently, for spam or to infringe another person’s rights. Do not introduce malware, interfere with security, probe or circumvent access controls, scrape private information or access another company’s data without authorisation. Do not upload content you have no right to share. Serious or repeated misuse may lead to content removal, restriction or suspension.

5. AI-assisted research and imports

Optional AI tools help identify equipment specifications, product ranges and data in uploaded documents. Results may be incomplete, inaccurate or outdated; verify specifications, prices, quantities and imported records before using them. You are responsible for your inputs and how you use outputs, and must have the necessary rights to any submitted documents or images. Do not submit illegal content, abusive or infringing material, malware, or attempt to bypass AI safeguards. Outputs are not regulated professional or safety advice. We may refuse inputs, restrict outputs or remove content that violates these terms. Report rights infringements using the in-app bug-report control so they can be reviewed; repeated infringement may result in suspension.

6. Intellectual property and your content

Alex Castle retains ownership of Gear Guardian’s software, documentation, branding and associated intellectual property. We grant you a limited, non-exclusive right to use the service for your company during authorised access. You retain your rights in uploaded content; you grant us permission to store and process it only as needed to provide and secure the service. We do not claim ownership of your equipment records or AI outputs; third-party rights may apply to outputs.

7. Availability and responsibility

We aim to provide a useful and secure service but do not guarantee uninterrupted or error-free operation. Maintain appropriate exports and backups of important records. To the extent permitted by law, we are not responsible for indirect loss arising from inaccurate records, service interruptions or your use of AI suggestions. Nothing excludes liability that cannot lawfully be excluded, including fraud or death or personal injury caused by negligence.

8. Suspension, closure and changes

We may suspend or terminate access for material breach, non-payment, security or fraud risk, or serious or repeated policy violations. Company closure requests are reviewed; deleting a user does not automatically delete company records or cancel billing. Full refunds and chargebacks may prompt an owner review of access. We may update these terms and will communicate material changes where required. Privacy information is in our Privacy Notice. For service support, use the in-app bug-report control; payment enquiries can be made at paddle.net.
